Learner Regulations

These regulations apply to every learner on a Hospitality Academy short course or professional diploma.

Automated assessment and human accountability

Multiple-choice final exams and diploma unit quizzes are marked automatically against answer keys. AI roleplay and lesson quiz feedback are practice, not final academic decisions. Diploma assignments and entered examination marks involve human marking and review.

Request a free human review of any automated result within 20 working days of receiving it through the contact form, topic Assessment appeal. A human reviews the evidence and the result, not AI. This review route supports UK GDPR Article 22 rights where applicable and the KVKK right to object to outcomes produced solely by automated processing.

Murat Bilican, Founder, is accountable for academic decisions. Appeals and malpractice decisions are always made by a human. Certificate revocations and diploma results require human review before they are final.

Academic integrity and malpractice

Malpractice means any action that gives an unfair advantage in assessment. It includes: copying or sharing exam questions or answers; getting help from another person during an exam; letting someone else sit an assessment for you; submitting work that is not your own (plagiarism), including undeclared AI generated text; making up data or sources; and submitting the same work twice without permission.

Investigation: (1) a concern is raised by a tutor, the system or another person; (2) we write to you with the evidence and you have 10 working days to respond; (3) a member of staff not involved in the assessment reviews the evidence and your response; (4) we tell you the decision and the reasons in writing.

Outcomes, depending on how serious the case is: no case to answer; a written warning; the mark for the component is set to zero; the attempt is voided and counts as used; the result is withheld; or an issued certificate is revoked. You can appeal any outcome.

Use of generative AI

Final exams and unit quizzes: no AI tools, notes or other people. You confirm this in a declaration before each exam.

Assignments: you may use AI tools to research, plan or check spelling, but the analysis, writing and conclusions must be your own. Describe any AI use in the AI declaration on the submission form. Text generated by AI and presented as your own is malpractice.

The AI Trainer on this site is a practice tool. Its answers are not assessed and may be wrong.

Appeals

You can appeal a result or a malpractice decision within 14 days. For an automated result, the separate free human review window is 20 working days. Appeals may be made on the grounds that the procedure was not followed, the marking contains an error, or there was a circumstance we did not know about. This does not restrict your right to human review of an automated result.

Stage 1 review: a member of staff checks the result and the procedure and replies within 10 working days.

Stage 2 independent review: if you are not satisfied, ask for a stage 2 review within 14 days of the stage 1 reply. A person not involved in the original decision or stage 1 reviews the case and replies within 20 working days. The stage 2 decision is final within Hospitality Academy.

Complaints

If you are unhappy with our service, tell us with the contact form (topic: Complaint). We acknowledge within 5 working days and reply in full within 20 working days. Complaints do not affect your results.

Extenuating circumstances

If illness, bereavement, a technical failure or another serious event outside your control affected an attempt or a deadline, tell us within 7 days with any evidence you can give. If accepted, we may give an extra exam attempt that does not count towards the limit, or an extension to an assignment deadline.

Reasonable adjustments

If you have a disability, a learning difference or a health condition, ask for adjustments before your assessment. We can give 25% or 50% extra time on timed exams, and our pages are built to work with screen readers and the keyboard. Other adjustments are considered case by case. Your information is used only to arrange the adjustment.

Certificate revocation and reissue

A certificate may be revoked after a malpractice finding, an identity fraud or an error in issue. A revoked certificate shows as revoked on its verification page. If a result changes after an appeal, or your legal name changes, we reissue the certificate. Write to us to request a reissue.

Retention of assessment records

We keep assessment records (attempts, scores, submissions, marks and certificates) for 6 years after the assessment, so that results can be verified and appeals handled. Certificate verification records are kept for as long as the certificate is valid.
